Who is responsible for your data

Advent Nexus administers this Assessment Center on behalf of the organisation that commissioned your assessment (the “client organisation”). Advent Nexus is responsible, as controller, for the personal data processed in the Assessment Center.

What we process

• Identification and contact details: name, e-mail address and, if provided, mobile number.
• Professional details: organisation, position, country and the programme you take part in.
• Assessment administration data: assessment package and modules, status, invitation, launch and completion dates, deadline, language preference and your consent record where consent is requested.
• Communication records: the e-mails we send you and their delivery status.
• Security records: IP address, browser type and time of access, used to protect your access link and the integrity of the process.

The Assessment Center does not collect your answers to the assessment questionnaires.

The assessment itself

The questionnaires (HPI, HDS and MVPI) are completed on the platform of Hogan Assessment Systems, Inc., which Advent Nexus uses under licence. When you start a module you leave the Assessment Center and Hogan processes your responses to produce the assessment results, which are made available to Advent Nexus. Hogan’s own privacy notice applies on its platform.

Why we process it and on what basis

• To administer your assessment — inviting you, giving you secure access, tracking completion and sending reminders — on the basis of the legitimate interests of Advent Nexus and the client organisation in conducting a fair and well-organised assessment process, or where applicable to perform the engagement in which you take part.
• Where applicable law requires it, on the basis of your explicit consent, which you may withdraw at any time.
• To keep the system secure and prevent misuse of access links, on the basis of our legitimate interests.
• To comply with legal obligations that apply to us.

Who receives your data

• Authorised Advent Nexus consultants working on your programme.
• The client organisation, to the extent agreed in the engagement (for example completion status and assessment outputs).
• Hogan Assessment Systems, Inc., as described above.
• Service providers acting on our instructions: database hosting (Supabase, EU region), application hosting (Vercel) and e-mail delivery (Microsoft 365).

We do not sell your personal data or use it for advertising.

International transfers

Some providers, including Hogan in the United States, process data outside the European Economic Area and Türkiye. Such transfers take place only with the safeguards required by applicable law, such as the European Commission’s Standard Contractual Clauses and, for data subject to Turkish law, in accordance with Article 9 of the Law on the Protection of Personal Data No. 6698 (KVKK).

How long we keep it

Assessment administration data is kept for the duration of your programme and for up to 24 months after it ends. It is then deleted or irreversibly anonymised so that only statistics without personal data remain. Security and audit records are kept for the same period at most.

How we protect it

• Encrypted connections (HTTPS) throughout, and encrypted storage of your personal assessment links.
• Access limited to authorised staff by role, with multi-factor authentication for administrators.
• A tamper-proof audit trail of significant actions.
• Your access link is personal: please do not forward it.

Cookies

The Assessment Center uses only essential cookies: one that remembers your language choice (for up to 12 months) and, for administrators, a session cookie. There are no analytics, advertising or tracking cookies.

Your rights

You can ask to access, correct or delete your data, restrict or object to its processing, receive it in a portable format and withdraw consent. See “Your rights” for details and how to make a request, or write to operations@adventnexus.com.
